Operations Manager
Position Overview
We are seeking an experienced, organized and detail-oriented Operations Manager to oversee the planning, coordination, and successful delivery of our guided tours. The ideal candidate has a minimum of 3 years of previous experience in an operations role in the tourism industry and brings a willingness to learn, innovate, and contribute to our company’s mission. A sense of ownership in one’s responsibilities, excitement to improve systems, and strong organizational skills will be very advantageous to one’s success (and enjoyment!) in this role. A keen attention to detail and love of logistics is a must for success in this position.
This role is fundamental to ensuring operational excellence and a seamless travel experience for our guests. You will work closely with the General Manager and other key departments to ensure every trip meets high standards of safety, compliance, and guest satisfaction.
Key Responsibilities include:
- Ensure trips are operated safely, in full compliance with federal and local regulations, and to a high standard of guest experience, leadership, and environmental stewardship
- Collaborate with cross-functional teams (sales, marketing, reservations, and management) to align operations with business goals
- Lead, support, and manage the guide team to ensure efficient and professional trip execution. Hire and train new guides as needed
- Conducts and ensures the completion of guide performance reviews
- Submit for, secure and manage all permits within regulation
- Fulfill and manage Commercial Use Authorization (CUA) and Department of Transportation (DOT) compliance and reporting requirements
- Oversee and execute on permit tracking schedule deadlines with precise accuracy and timeliness.
- Manage the company’s vehicle and trailer fleet, ensuring availability and maintenance aligned with tour schedules
- Monitor trip budgets and approve operational expenses according to set tour plans
- Oversee inventory use, maintenance schedules, and equipment servicing
- Analyze client feedback and implement quality improvements to enhance guest satisfaction
- Manage after-hours emergency contact system for tour support as part of staff rotation.
- Maintain risk management protocols and documentation
- Coordinate with the General Manager regarding vehicle and inventory insurance, including Certificates of Insurance (COI) for partners
- Support the development of new products and regularly review existing offerings in line with the company’s strategic goals
- Communicate with international agents specific to operational details as needed.
- Assist in itinerary costing and schedule review
Qualifications:
- Minimum 3 years of experience in adventure travel or inbound travel operations
- In-depth knowledge of travel and hiking within the national parks of the Western U.S.
- Strong organizational, analytical, and problem-solving skills
- Excellent written and verbal communication abilities
- Proficiency in all Microsoft programs and ability to adapt to new IT systems.
- High attention to detail and ability to manage multiple priorities
- Initiative-driven, with a mindset for business growth and process improvement
- Knowledge of safety and risk management best practices in active travel
- Team-oriented, collaborative approach
- A proactive approach with a sense of ownership and an eagerness to build and improve systems
Key competencies:
- Must be in Denver area to accommodate hybrid WFH schedule
- Must be able to drive a 15-passenger van with trailer.
- A minimum of 3 years in the adventure travel industry and a passion for this sector of the market
- Firsthand adventure travel experience in the Western USA national parks and trails
- Strong organizational, analytical and problem-solving skills
- Excellent written and oral communication skills
- Computer literacy, familiar with databases and extensive experience with excel program
- Excellent attention to detail
- Experience in the tourism industry or a similar role, with knowledge of trip design, logistics, and supplier relations.
- Exceptional organizational skills, attention to detail, and ability to adapt to new IT systems.
- A proactive approach with a sense of ownership and an eagerness to build and improve systems.
Work Environment
- Standard work hours are Monday to Friday, with some on-call weekends and evenings during peak season.
- Hybrid work schedule: three days a week in our Denver office.
