Please read carefully the terms in the conditions of contract. In completing and submitting the Booking Form, you agree to be bound by these conditions, which constitute the agreement between Adventure Travel West Inc. and you.

These conditions apply to the exclusion of any other terms or conditions unless they are set out in the Booking Form or are otherwise agreed to in writing by the parties.

Previous dealings between the parties will not vary these conditions. No purported variation of these conditions will be effective unless in writing and signed by a person so authorized by Adventure Travel West.

Bookings & Cancellations

Booking

Indicate if your passenger wants a single room: single supplement or willing to share, double room.

We offer to match up singles of the same sex from your company or clients of other companies also willing to share. If we cannot find a share, we will not charge a single supplement.

To guarantee a single room, a passenger has to pay a single supplement.

We will confirm any booking within 1 day (longer over the weekends or holidays), issuing a booking number.

Current booking conditions can be found on every tour page. Bookings are live availability; however, bookings have to be confirmed by the office so please always await our confirmation.

Tours are sold first come, first sold. Please allow up to 24 hours for approval.

Languages

Adventure Travel West offers tours in English, German or both languages.

Should the primary spoken language on tour be changed, guests already booked on the departure date will be notified at the time of the change.

Private Tours

If you would like to book a closed or private group, please contact us.

We may be able to set aside a private tour for you from an existing room block. We are also able to organize a customized white label trip on request and subject to availability of services.

Confirmation of Tours

We will confirm the departure of a tour no later than 45 days prior to departure.

Once a tour is confirmed, it will never be unconfirmed, even when cancellations are received after confirmation.

Payment Due Date

Full payment is due 60 days prior to departure.

If we do not receive full payment, we reserve the right to cancel your booking at any time.

Cancellations

Summary cancellation fees:

• 60–46 days prior: 25% of trip cost due
• 45–31 days prior: 50% of trip cost due
• 30–0 days prior: 100% of trip cost due

We recommend travel insurance as it will likely cover these fees.

If a tour is canceled due to lack of numbers, an alternative tour will be offered. No transfer fees apply, but if there is a cost difference, you will be reinvoiced accordingly.

Luggage Restrictions

Due to limited space on our vehicles and luggage trailers, passengers are allowed to bring one piece of luggage (max 23 kg), plus one carry-on item.

Laundry is available at most hotels for a small fee and is the traveller’s responsibility.

Depending on group size, shopping may be restricted during the tour. We are not responsible for luggage left in our vans or trailers.

In Case of Sickness

If a passenger gets sick or injured, the tour director will assist them in reaching a doctor or emergency room.

The tour director is required to stay with the group and may not be able to personally assist the passenger beyond that point.

All passengers are required to have travel insurance.

Travel Insurance

All passengers must carry current travel insurance. This will be checked at the start of the tour.

If a passenger does not have insurance, they must purchase one through their booking agent.

ATW is not responsible for lost or stolen items, including luggage left in hotel rooms, trailers, vans, or tents.

Waivers

All participants must sign a waiver before the start of the tour. This is a requirement by our insurance provider.

Additional waivers may be required by third-party activity providers for optional excursions.

Late Bookings

Late bookings can be accepted up to 1 week prior to arrival.

Full payment is required prior to arrival. If a single supplement is needed due to limited availability or no match for shared accommodation, it will be charged accordingly.

Hotel Substitutions

ATW reserves the right to change hotels if necessary.

Substitute hotels are usually of equal or higher value. In rare cases, a lower category or alternate nearby location may be used.

Please review your hotel list sent with the booking confirmation to verify the accommodations.
